ADMINISTRATIVE ASSISTANT
Pay Grade: A05 FLSA: Non-Exempt
The Administrative Assistant provides advanced administrative and clerical support to department leadership and helps ensure the efficient day to day operation of the department. This position is responsible for coordinating office activities, maintaining accurate records and filing systems, preparing reports and correspondence, assisting with budget tracking, processing invoices and purchasing requests, coordinating schedules, and supporting special projects.
The ideal candidate will be highly organized, detail oriented, and able to manage multiple priorities with minimal supervision. Responsibilities also include communicating with vendors, department representatives, public officials, and members of the public; preparing and proofreading professional documents; maintaining confidential information; and using Microsoft Word, Excel, email, calendars, and other office systems to support department operations.
Candidates should possess strong written and verbal communication skills, sound judgment, excellent customer service skills, and the ability to work effectively in a fast paced environment while meeting deadlines and maintaining accuracy.
